MinuteDock + Xero Overview

Overview of how MinuteDock works with Xero, with links to more in depth guides.

MinuteDock connects with your Xero file to sync across your Xero contacts list. You can then record time in MinuteDock against your clients and generate invoices in MinuteDock to send to Xero as a draft.

Set up Your Xero Connection

Establish the connection between MinuteDock and your Xero organization with a simple authorization process. Once connected, MinuteDock will immediately begin syncing your Xero Contacts.

What you'll need:

  • Admin access to your Xero organization

  • The Manage MinuteDock Account & Users Permission

Import and Sync Xero Contacts

Your Xero Contacts automatically sync to MinuteDock as Contacts you can track time against. Run manual syncs to update your Contact list and merge any duplicates created before connecting.

Key points:

  • Xero Contacts sync automatically every 24 hours

  • Changes in Xero update MinuteDock (one-way sync)

  • Merge duplicate Contacts to consolidate Time Entries

Send Invoices to Xero

Generate invoices from your tracked time and send them directly to Xero as draft invoices. Your Xero branding and templates are automatically applied, ready for final review and sending to clients.

What happens:

  • Invoices appear as drafts in Xero

  • Time Entries are marked as invoiced in MinuteDock

  • Xero handles client delivery and payment processing

Manage Xero Field Settings

Configure how MinuteDock automatically applies Xero accounting fields (Items, Tracking Categories, and Ledger Accounts) to your invoices. Set defaults and customize by User, Contact, Project, or Task for complete automation.

Automation options:

  • Set organization-wide defaults

  • Override settings at multiple levels

  • Eliminate manual field selection during invoicing
