Frequently asked questions about Contacts, Projects and Tasks in MinuteDock.

Why can't I record time against a specific contact?

This is almost always an Allowed Contacts setting — your admin may have restricted which Contacts you can track time against. Check with them that the Contact you need is on your allowed list. If it is and you're still not seeing it, make sure it hasn't been archived.

I accidentally archived a contact — can I still see their time entries?

Yes. Archived Contacts are hidden from your active list, but their time entries are preserved and still show in Reports. You can also restore an archived Contact at any time to bring them back to your active list. See Archive or Merge a Contact for how to restore.

How do I merge duplicate contacts without losing time data?

Go to the Contacts screen, find the duplicate you want to remove, and click the red "X." MinuteDock will give you the option to merge it into another Contact.

All time entries, projects, and invoices will transfer across. If either Contact is linked to your accounting software, the synced counterpart will be prioritised.

Note: merges can't be undone, so double-check before confirming.

What's the difference between a Project and a Task — when should I use each?

A Project belongs to a specific Contact and is great for tracking distinct jobs, matters, or engagements for that client.

A Task is account-wide and can be used across any Contact — ideal for categorising types of work like "consulting," "admin," or "research."

You can use both on the same time entry: the Project tells you which job, the Task tells you what kind of work. See Organizing Time with Contacts/Projects/Tasks for more.

Do my Projects and Tasks flow into my accounting integration?

Not directly as Projects or Tasks — they're a MinuteDock concept for organising your time.

However, when you send an invoice to your accounting software, you can configure how MinuteDock maps your Projects and Tasks to your integration's fields (like Items, Tracking Categories, or Classes).

I've got loads of preexisting tasks, project codes, or matters from my old system. How can I import these?

Reach out to support@minutedock.com with your data in CSV format, including as many of MinuteDock's Project/Task fields as possible.

Our team will handle the bulk import for you.

Can I move time entries from one contact or project to another?

Yes — click on the entry to edit it, then change the Contact and/or Project. If the entry falls before a time lockout date, your admin will need to unlock it first.

I need to add a new Contact. Should I create it in MinuteDock or in my accounting software?

If you're using an integration, the best practice is to create the Contact in your accounting software and let it sync across to MinuteDock.

This keeps both systems in sync and avoids duplicates. If you create a Contact in MinuteDock that doesn't exist in your accounting software, MinuteDock will attempt to create it there when you send your first invoice — but the Contact will need a valid email address for this to work.

I edited a Contact's name yesterday, but now it's reverted to the old name. Why?

This happens when you're connected to an accounting integration. Your accounting software is the "source of truth" for Contact details, so the next time MinuteDock syncs, it pulls the original name back from your accounting software.

To make the name change stick, update it in your accounting software instead, and it'll flow through to MinuteDock on the next sync.

Is it possible to retrieve a list of Projects / Contacts / Tasks from MinuteDock?

You can export your Contacts, Tasks or Projects from MinuteDock at any time. Find the export button on the relevant Contact/Project/Task screen to download a csv file with all of the data.

How do I move a Project from one Contact to another?

You can reassign a Project to a different Contact by editing the Project's settings. Go to the Projects screen, hover over the Project you want to move and click the edit button, change the Contact assignment to the new Contact, and save. Any Time Entries logged under that Project will move with it — the change is retroactive, so historic time also appears under the new Contact in Reports and invoicing.

Two things to keep in mind: the move can't be partially scoped (every Time Entry on the Project switches together), and any Time Entries attached to a sent Invoice stay locked to that Invoice. If you only want to move some of the time, edit those individual Time Entries instead and change the Contact and Project on each one.

Can I import time entries, tasks, or contacts from a CSV file?

MinuteDock doesn't have a self-serve CSV import tool, but our support team runs one-off imports for you free of charge. You can import historical Time Entries, Tasks, Projects, and Contacts from a CSV or Excel spreadsheet — email the file to team@minutedock.com and we'll load it into your Account.

For Time Entry imports, include at minimum: the date, the duration (in hours, minutes, or hh:mm), the User the entry belongs to, the Contact, and the entry description. Optional columns include Project, Task, billable status, and any notes. For Contact or Task imports, include the name and Short Code at minimum, plus any default rates you want applied.
