When you send an invoice to Xero, QuickBooks, MYOB or Wave, MinuteDock shows "We're currently sending this invoice to Xero. Shouldn't be long." If the send fails, or is still going after 5 minutes, you'll see a red banner: "Ooops! Looks like we hit a problem sending this invoice."
The invoice stays on the Draft tab. MinuteDock doesn't show the error your accounting software returned, so work through the causes below, most common first.
Send the invoice again
In the red banner, click Click here to go back to the invoice.
Fix the cause (see below).
Click Send to Xero (or QuickBooks, MYOB or Wave).
If you see "This invoice is already being sent.", the earlier send is still going. Wait a few minutes before trying again.
Find what's stopping the send
Your accounting connection needs fixing
If the connection has broken, the invoice shows "Oh no! You have connection issues to resolve."
Click the name of your accounting software (for example, Xero) in the links at the top right of the page, next to Profile and Account. You'll also find it under Account.
Check Connection Status. A working connection says "Seems OK from our end!". A broken one says "Oops! Looks like something is wrong."
Click Reconnect (for Xero, click the Xero connect button) and sign in to your accounting software.
Reconnect with an admin login for your accounting software. If MinuteDock says the login "doesn't have full access permissions", that login isn't an admin.
Wave is on the free plan
Wave only allows integrations on a paid plan. If your Wave business is on the free plan, MinuteDock can't connect to it, so invoices won't send. Upgrade to a paid Wave plan, then connect again. See MinuteDock + Wave Overview.
The invoice currency isn't set up in your accounting software
Your accounting software can reject an invoice in a currency it isn't set up for. With Xero, MinuteDock warns you when you pick the currency, but still lets you send. QuickBooks and MYOB don't warn you.
Add the currency in your accounting software, or change the invoice's Currency on the last step to one it supports.
The draft was made before you switched accounting software
If you've moved from one accounting system to another, older drafts keep the previous system's accounts and tax rates. The new system rejects them.
Open the draft and re-pick the details on each line from the new system:
Ledger Account for Xero or MYOB
Service for QuickBooks
Product for Wave
Then choose a Tax Rate from the new system and send again.
A QuickBooks line has no Service
Every line on a QuickBooks invoice needs a Service. If one is blank, MinuteDock stops you with "You'll need to pick a Service for all your line items before we can continue. Sorry!"
A Service left over from another accounting system gets past that check, but fails when you send. Pick a current QuickBooks Service on every line.
MYOB has no invoice layout
MYOB needs an Invoice Layout for every invoice. If none is selected, or the one selected isn't available in your MYOB company file, MYOB can reject the invoice. Choose a default Invoice Layout in your MYOB integration settings, then send again. See MYOB Integration Settings.
Xero rejected a tax rate
Xero rejects a line if its tax rate isn't valid for the line's account, or isn't active in Xero. Check the Tax Rate on each line, and any Tax Rate set in the Contact's Xero Settings. Choose a rate that's active in Xero, then send again.
Your accounting software is having problems
Now and then the accounting system itself is down or running slowly. This kind of connection issue can disrupt syncing. Check your software's status page and whether third party connections are working, then try again later.
Things that won't stop an invoice sending
A Contact that isn't linked yet. If the Contact isn't in your accounting software, MinuteDock creates it from the Contact's name as part of the send. It doesn't need an email address.
A QuickBooks customer with the same name. MinuteDock adds "(MinuteDock)" to the Contact's name so the send can go ahead, so you may see "(MinuteDock)" or "(MinuteDock 2)" on the Contact afterwards.
Still stuck?
Email team@minutedock.com with the invoice number and which accounting software you use, and we'll look into it.
