Setting up a Budget

How to set up a budget for tracking Project costs and time limits

You can set up a Project specific budget in a Project's settings and track progress towards an allotment of hours or a monetary amount.

Access Project Budget settings

Navigate to the Projects screen (click the Projects heading) and either create a new Project or edit an existing Project to access budget settings.

To edit an existing Project, hover over it in your Projects list and click the edit button which appears.

Set up your Project budget

Within the Project settings:

  1. Enable budgets: Tick the Set a budget option

  2. Choose budget type:

    • Hours - Set an hour limit for the Project

    • $ Billable - Set a money limit based on billable rates

  3. Enter amount: Set your budget limit (hours or dollar amount)

  4. Set frequency from the dropdown:

    • in total - One-time budget for the entire Project. It doesn't reset.

    • each week - Resets every Monday

    • each month - Resets on the 1st

    • each quarter - Resets 1 January, 1 April, 1 July and 1 October

    • each half - Resets 1 January and 1 July

    • each year - Resets 1 January

  5. Click Update Project to apply the budget

⚠️ Important: Recurring budget periods follow the calendar, not your financial year. A budget set to each year resets on 1 January even if your financial year starts in April.

How Project Budgets work

Hour budgets track all billable time logged to the Project against your set hour limit.

Billable budgets calculate the dollar value of billable time using your hourly rate settings and track against your set money limit.

The same budget options are available on a Contact, if you want to track against a whole client rather than one job.

View Budget progress

Budget progress appears directly on the Projects screen as a progress bar, showing how much of your budget has been used.

You can also run Reports directly from the Project to see detailed budget tracking and time breakdown.

ℹ️ Note: Project budgets are different from Goals. Goals are created separately in the Goals screen, offer more filtering and visibility options, and use a different set of periods — Every weekday, Every week, Every month, or Between specific dates. See Adding a New Goal.
