Exporting Data from MinuteDock

Learn how to export your Contacts, Projects, Tasks, Time Entries, and Invoices as CSV files, or as a PDF timesheet, for analysis, reporting, or backup.

You can export your data as CSV files that open in any spreadsheet application, letting you do further analysis, reporting, or just keep a backup of your info. You can export your Contacts, Projects, Tasks, Time Entries, and Invoices. Time Entries can also be exported as a PDF timesheet. See Export a Report as a PDF.

šŸ’”Tip: Archived items aren't included when exporting the "All" Contacts, Projects, or Tasks lists. To export those, switch to the Archived view before clicking Export. Invoices are the exception: the "All Invoices" export already includes archived invoices alongside your draft and sent ones.

Exporting Contacts

To export your Contacts list:

  1. Go to the Contacts screen

  2. Pick which Contacts to view: All Contacts, Pinned Contacts, or Archived Contacts

  3. Click Export

Your Contacts export provides a comprehensive snapshot, including:

  • Contact names and email addresses

  • Short Codes and billing references

  • Billing Rates and currency settings

  • Integration details (if applicable)

  • Budget information

  • Created and updated dates

Exporting Projects

To export your Projects list:

  1. Go to the Projects screen

  2. Pick which Projects to view: All Projects, Pinned Projects, or Archived Projects

  3. Click Export

Your Projects export includes:

  • Contact and Project names

  • Short Codes and descriptions

  • Billing Rates and references

  • Integration tracking details (if applicable)

  • Budget information

  • Created and updated dates

Exporting Tasks

Tasks are managed from the Projects screen. To export your Tasks list:

  1. Go to the Projects screen

  2. Go to Tasks

  3. Pick which Tasks to view: All Tasks, Pinned Tasks, or Archived Tasks

  4. Click Export

Your Tasks export includes:

  • Task names and descriptions

  • Short Codes

  • Billing Rates

  • Integration tracking details (if applicable)

  • Created and updated dates

Exporting Time Entries (Reports)

Exporting Time Entries works differently from your Contacts/Projects/Tasks lists. You'll export them through the Reports screen, using the filtering options for targeted exports of selected Time Entries.

To export Time Entries:

  1. Go to the Reports screen.

  2. Choose your time period and any User, Contact, Project, Task, or Options filters.

  3. Scroll to the bottom of the Report and open the Download menu.

  4. Choose Time entries CSV for a spreadsheet, or Timesheet PDF for a printable timesheet.

  5. For a PDF, tick the columns you want to include in the Timesheet PDF window and click Generate. When the confirmation appears, click Download.

Both formats include only the Time Entries matching your Report filters. You can also click the CSV button on an individual chart to export just that chart’s summary data.

When you export a full Report as a CSV, the spreadsheet includes:

  • Contact, Project, and Task information for each entry

  • Date and User who logged the time

  • Duration, split across Hrs and Mins columns

  • Billable time and hourly rates

  • Billable and invoiced amounts

  • Invoice details (if the time has been invoiced)

  • Entry descriptions and notes

  • Integration tracking information (if applicable)

When you export as a PDF, the file includes only the columns you selected (Date, User, Contact, Project, Tasks, Description, Hours, Rate, and Amount) plus a totals row. See Export a Report as a PDF for details.

Exporting Invoices

To export your Invoices:

  1. Go to the Invoices screen

  2. Pick which Invoices list to view: All Invoices, Draft Invoices, Sent Invoices, or Archived Invoices

  3. Click the export button

Your Invoices export includes:

  • Invoice numbers and dates

  • Due dates

  • Contact information

  • Subtotal, tax, and total amounts

  • Accounting integration IDs (if applicable)
