User Permissions

What each user permission in the user settings does and how to limit clients available to a given user.

These are the Permissions listed under Account Permissions when you edit a User, in the order they appear on screen.

Manage MinuteDock Account & Users

Selecting this makes a regular User into an Admin. It will show the Account screen on their MinuteDock account, and it will allow the User to view, add, manage permissions for and remove other Users.

It will automatically apply all of the Permissions described below to their account. If you deselect this again, you can choose to give a User one or more of the below Permissions.

Manage Invoices & See Billing Reports

This Permission shows the Invoices screen and gives the User access to everything on it — viewing, creating, editing, sending, archiving and deleting Invoices, plus the full draft, sent and archived Invoice lists. It also turns on dollar values in Reports and Goals.

This is a full view of the Account's billing information, not just the User's own invoicing. Drafting an invoice means selecting from any Contact's time, so the User can see every team member's Time Entries and what they're worth, along with hourly rates for Users, Contacts, Projects and Tasks.

ℹ️ Note: Without this Permission the Invoices screen is hidden from the User's account entirely. A User who can see the Invoices screen has full access to every action on it.

Manage Contacts

This will show the Contacts screen on their account. It will allow the User to view, add, edit and remove Contacts.

They will also be able to see and change every rate stored on a Contact — the Contact rate, any rate set there for a specific User or Role, and any Task-specific rates. This does not give them dollar values in Reports; that needs Manage Invoices & See Billing Reports.

Manage Projects & Tasks

This Permission will show the Projects screen, including the Tasks sub-tab, on their account. It will allow the User to view, add, edit and remove Projects and Tasks.

They will also be able to see and change every rate stored on a Project or Task, including any rate set there for a specific User or Role. As with Manage Contacts, this does not give them dollar values in Reports.

ℹ️ Note: These two Permissions can expose a colleague's rate, but only where someone has set a User-specific rate on that Contact, Project or Task. Default User rates aren't exposed this way; those live on the Team screen and need Admin. See Who can see hourly rates for the full breakdown.

Edit & manage others' time

This Permission lets a User edit other Users' Time Entries and Goals, and track time on their behalf.

It needs to be paired with See & report on others' time. On its own it has nothing to act on — a User has to be able to see a colleague's time before they can change it. With both enabled, they can switch to a team member's timesheet from the My Time dropdown and add or edit entries there. See Track Time for Another User.

See & report on others' time

This Permission will allow a User to see other Users' Time Entries, and create Reports that include all Users' Time Entries.

Can report on other users' time with the same role

This is the same as See & report on others' time, except the ability to report is restricted to only those Users who share the same Role as the one with this Permission.

Limit which contacts can be seen

This restricts the User to a chosen set of Contacts. Once you tick it, select the Contacts they should be able to access.

They'll only see those Contacts — and the Projects under them — when logging time and running Reports. See Manage User Permissions for the steps.

Manages other users

The Manages other users setting lets a User report on, edit, and approve time for a chosen set of team members, without giving them account-wide access. It's useful when a team lead or partner should oversee their own group rather than the whole team.

⚠️ Important: This is an opt-in beta feature. Contact our support team at team@minutedock.com to turn it on for your Account.

When you turn it on for a User, you choose the Users and Roles they manage. You can mix both. If you assign a Role, the User manages everyone in that Role.

A manager can:

  • report on the time of their managed users

  • edit the time of their managed users

  • approve their managed users' time, if the time-approval workflow is also enabled on your Account (also a beta feature — email team@minutedock.com)

A few things to keep in mind:

  • Billing rates aren't included. A manager only sees hourly rates and dollar values if they also have Manage Invoices & See Billing Reports. Manage Contacts or Manage Projects & Tasks will still let them read the rates stored on those records.

  • Contact restrictions still apply. If a manager has Limit which contacts can be seen turned on and a Contact isn't on their list, they won't see time logged against that Contact, even when one of their managed users logged it.

  • Account-wide permissions take priority. If the User also has See & report on others' time, they'll see all time on the Account, not just their managed users'. Without Edit & manage others' time, they can edit their managed users' time but not anyone else's — even if that other time is visible to them.
