Frequently asked questions about user permissions, adding/removing users, and Roles in MinuteDock.

Why can't I edit billing rates, add contacts, or change settings?

Your user Role, or individual user permissions likely don't include the relevant permission.

Each section in MinuteDock has a specific permission — for example, "Manage Contacts" for adding or editing Contacts, or "Manage MinuteDock Account & Users" for full admin access.

Ask your admin to check your permissions. See Manage User Permissions for what each permission controls.

Why can't I see my team's time in reports?

You need the "Report On Others' Time" permission. Without it, you'll only see your own time entries in reports.

Ask your admin to enable this for your account if you need it.

What can each user role see and do?

MinuteDock has one main admin permission (Manage MinuteDock Account & Users) that gives full access, plus individual permissions for specific areas: Manage Invoices, Manage Contacts, Manage Projects & Tasks, Report On Others' Time, and Edit Others' Time.

These can be mixed and matched to create the right level of access for each team member. See Manage User Permissions for the full details on what each permission allows and what data it exposes.

Can I restrict a team member to only track time against specific contacts?

Yes — use the Allowed Contacts setting. Under the user's settings in Account > Team, you can select which Contacts they're allowed to access.

They'll only see those Contacts (and their associated Projects) when logging time. See Manage User Permissions for setup steps.

Can a user without billing permissions see their own hourly rate?

No. A user with no billing-related permissions (no "Manage invoices & see billing reports", no Admin) cannot see hourly rates anywhere — including:

  • Their own profile

  • Reports (no $ totals or Charge Rate chart)

  • Goals

If you want a user to see their own billable rate or set dollar-value Goals, grant them the "Manage invoices & see billing reports" permission.

How do I transfer a team member's time data if they leave?

When a user is archived or removed, all their time data stays safe and available in reports — nothing is lost.

Does MinuteDock support two-factor authentication (2FA)?

Yes. MinuteDock supports two-factor authentication, via an emailed authorisation. Each User can turn it on for their own login from the Profile screen by clicking the Start Verification button under User preferences and following the setup steps. 2FA is configured per User, so each team member enables it on their own account.

Can I require Time Entries to be approved before they're invoiced?

MinuteDock supports an approval workflow on Time Entries — Admins can review a User's logged time and mark it as approved before it flows through to invoicing or final reporting. This is particularly useful for accounting practices and law firms that need a partner or manager sign-off on team time.

Approval is currently an opt-in feature. Email team@minutedock.com to have it enabled on your Account and we'll walk you through how it shows up on the Time screen and in Reports.
