Send Invoices to Wave

How to generate invoices in MinuteDock and send them to Wave as drafts against Wave customers.

Create an Invoice - Summary

The invoicing process starts in MinuteDock. You will generate your invoice from logged Time Entries, make edits (if needed), and send the generated invoice to Wave where it will appear as a draft invoice against the synced Wave customer.

From there, your Wave invoicing branding/templates will be applied, and you can either continue to adjust your draft invoice or issue the completed invoice to your customer. Wave will handle the remainder of the process.


Start a New Invoice

In MinuteDock, click onto your Invoices tab.

The 'Ready to Invoice' section will show Contacts with unbilled time.

Using the 'Up to' or 'pick a date' options will let you limit your 'ready to invoice' section to including only billable time from on or before the chosen date. Use this to quickly set your billing period!

You can also click the 'New Invoice' button to search a particular Contact and start an invoice against it, instead of using the 'ready to invoice' options.

1. Go to the Invoices tab in MinuteDock.

2. Click on the Contact you want to invoice in the 'Ready to Invoice' section.

3. Or: click the 'New Invoice' button and search for the Contact you want to Invoice.


Choose Time to Include in the Invoice

Option One

  1. Pick one of the quick options (Up to [date] or time against [project]).

  2. Click 'Next Step'.

Option Two

  1. Select 'custom invoice'.

  2. Use filters under 'custom invoice' to pick Time Entries to include in the invoice.

  3. Once happy with selection, click 'Next Step'.

In Detail

Once you've started your invoice, the next step is to select what Time Entries you want to include in the invoice.

You can use one of the quick options or select 'custom invoice' and use filters to get a specific selection of time.

Once you've chosen what time to include, click the 'Next Step' button.

The filters work exactly the same as those found in the Reports feature.

If you want to include unbillable time in an invoice, you can choose to make it available under the 'options' filter.

You can also deselect specific Time Entries manually via the tick boxes beside each Time Entry in the custom invoice list.


Edit and Format Your Invoice

  • Grouping options will let you merge invoice lines based on your selection.

  • Formatting options let you fill the description field for invoice lines.

  • Manually edit lines as needed by clicking into relevant fields.

  • Click create button to add a blank invoice line (good for adding fixed items/charges).

  • Use tick boxes and 'Merge' button to manually merge lines.

MinuteDock will generate invoice lines based on your selected Time Entries. Billing rates from your MinuteDock settings will be applied.

You can use the Grouping settings to quickly merge invoice lines based on grouping options.

Formatting options let you choose what to include in the descriptions of each invoice line.

You can also manually add, edit or merge any invoice line as you like - note that editing invoice lines will not edit associated Time Entries.

If you've set up Wave products or services in your integration settings, they'll be automatically applied to the appropriate invoice lines.

When you are happy with the content of your invoice, click 'Next Step'.


Send to Wave

The last step will let you quickly review the invoice before sending it off to Wave.

If you are happy with your invoice, click the 'Send to Wave' button to send the invoice as a draft in Wave.

Sending the invoice will lock included Time Entries from further editing in MinuteDock, and will mark them as invoiced for reporting.

You can now head to Wave and issue or further edit your draft invoice as needed!
